Expanded (Digital) Telephone Reference Guide

This reference guide relates to the expanded (digital) telephone which has the familiar twelve numeric, *, and # buttons, plus specialized buttons for hold, transfer, InteMail, and other functions. If a telephone does not have a special button named in this guide, then the telephone does not have that built-in function.

Hold

To place a call on hold:

  1. Press the Hold button

To retrieve a call on hold:

  1. Press the line select button

Call Waiting

To accept a waiting call:

  1. Press Hold button
  2. Hang up handset
  3. Second call will ring the extension of the phone in use
  4. Press Hold button to alternate between calls

Transfer

To transfer an existing call:

  1. Press Transfer button
  2. Listen for dial tone
  3. Key-in extension number
  4. Announce call, if desired
  5. Hang up handset

Abbreviated Dialing

To store an abbreviated dial number:

  1. Lift handset
  2. Press Abbreviated Dial button
  3. Press *
  4. Key-in one or two digit reference number
  5. Listen for confirmation tone
  6. Key in the number that needs to be stored
  7. Listen for confirmation tone
  8. Hang up handset

To place an abbreviated dial call:

  1. Lift handset
  2. Press Abbreviated Dial button
  3. Key-in one or two digit reference number

Conference Calls

To set up a three-way (or more) conference call:

  1. Lift handset
  2. Press Conference button
  3. Listen for dial tone
  4. Key-in internal or external number
  5. Announce conference, if desired
  6. Press Conference button to connect parties
  7. Repeat above steps to add additional parties

Callbacks

If the extension is busy:

  1. Press Callback button
  2. Listen for confirmation tone
  3. Hang up handset
  4. There will be three short rings to signal when the called extension is no longer busy
  5. Lift handset

To leave a message if no answer:

  1. Press Callback button
  2. Listen for confirmation tone
  3. Hang up handset

To return a callback message:

  1. The Line Select button lamp will flutter when there is a callback request
  2. Lift handset
  3. Press Callback button

To queue if all lines are busy:

  1. A callback announcement will play
  2. Press Callback button
  3. System will announce a three-digit queue number
  4. Hang up handset
  5. There will be three short rings to signal when a line is available
  6. Lift handset
  7. System will repeat three-digit queue number

Call Forwarding

To activate:

  1. Lift handset
  2. Press Call Forward button
  3. Listen for confirmation tone
  4. Key-in number where calls are to be forwarded
  5. Listen for confirmation tone
  6. Hang up handset

To cancel:

  1. Lift handset
  2. Press Call Forward button
  3. Listen for confirmation tone
  4. Hang up handset

Last Number Redial

To redial the last outside call:

  1. Lift handset
  2. Press Last Number Redial button

Call Park

To park a call:

  1. Press Call Park button
  2. System will announce a parking number
  3. Hang up handset

To retrieve a parked call:

  1. Lift handset
  2. Key-in parking number

Call Pickup

Group:

  1. Lift handset
  2. Press Call Pickup button
  3. Any ringing extension in the pickup group will be answered

Extension:

  1. Lift handset
  2. Press Call Pickup button
  3. Listen for confirmation tone
  4. Key in extension number

Do Not Disturb

To activate:

  1. Press Do Not Disturb button (or *6 if no button present)
  2. Listen for confirmation tone

To cancel:

  1. Press Do Not Disturb button (or #6 if no button present)
  2. Listen for confirmation tone
