Below are two email templates that may be useful when communicating with faculty about assessment. The first is for requesting faculty participation in assessment. The second is usually sent to the faculty member at the end of the term reminding him or her to login to LiveText and assess previously assigned outcomes. The outcomes scheduled for the instructor will need to be inserted into the email where it says [insert outcomes] and will be provided by the assessment team so that they can be inserted.
Requesting Faculty Participation - Academic Director to Teaching Faculty
Subject: Program Assessment Participation
I am reaching out to you as the academic director of the [program] program. Part of my role is to collaborate with the program committee and accreditation and assessment department to assess student learning in the program.
Your participation in assessment is simple and entails completing an online assessment of an existing assignment in your [term & course code] course. The program curriculum map indicates that students master the following learning objective(s) in your course:
The process would involve you assessing the assignment where students demonstrate their learning and proficiency on the outcomes above. The accreditation and assessment department will set up the assessment--including the rubrics used to score the outcome(s). They will also provide training on how to score the assessments in LiveText (the University's assessment system).
Please let me know if you are willing to assess the outcome(s) in your course.
Subject: Assessment Reminder
As we approach the end of the term, I am reaching out with a friendly reminder that you are scheduled to assessed the following outcomes this term:
[insert scheduled assessments]
A best practice that makes the process a little smoother is to score the assessment at the same time as you are grading the assignment. This way you only need to look at the assignment once.
Briefly, the steps to complete the assessment are:
- Log in to livetext.com
- Select "assess" for the course that you want to begin with
- Select the student name
- Score each rubric (there is a separate rubric for each outcome, select "Expand Rubrics" on the right side of the page to view the full rubrics in a new window)
- Click "Submit Assessment"
- Repeat for each student in the course
