Schedule an Event

25Live is Pepperdine University's centralized system for scheduling events and requesting spaces on the Malibu campus. Whether you are planning a department meeting, guest lecture, student program, conference, or large-scale University event, 25Live provides one place to submit your event information, review space availability, and request campus locations.

Beginning in August 2026, events held on the Malibu campus must be scheduled through 25Live. Events are not considered officially scheduled until all applicable scheduling requirements and approvals have been completed.

Before You Schedule

A little preparation before submitting your request can help make the scheduling process easier.

Before you begin:

  1. Review the University Calendar. Check your preferred date for other campus events, High Impact Dates, and activities that could affect your plans.
  2. Identify your event needs. Consider your anticipated attendance, preferred location, setup and teardown time, event format, and any special requirements.
  3. Consider alternative dates and spaces. Your first choice may not always be available, particularly during busy periods of the academic year.
  4. Plan ahead. Submit your request as early as possible, especially for events requiring significant space, resources, external guests, or operational support.

 

 

How to Schedule an Event

1. Log in to 25Live

Access 25Live using your Pepperdine credentials.

2. Submit Your Event Request

Create an event request in 25Live and provide complete and accurate information about your event, including the requested date and time, location, attendance, sponsoring organization, and other event details.

The information provided during this step helps University Scheduling and campus partners understand your event and determine whether additional review or coordination may be needed.

3. Allow Time for Review & Approval

Submitting a request does not automatically confirm your event or reserve your requested space.

Depending on the event, your request may require review by the space owner, University Scheduler, or other campus partners. Events occurring on High Impact Dates or involving more complex operational requirements may require additional coordination.

Monitor your 25Live request and University email for updates, questions, or requests for additional information.

4. Receive Confirmation

Your event is officially scheduled once the applicable scheduling process has been completed and your event and space have been confirmed in 25Live.

Once confirmed, continue planning your event and coordinating any necessary services, logistics, and campus resources.

 

Academic vs. Non-Academic Scheduling

25Live supports both academic and non-academic use of University spaces; however, the processes and contacts differ.

 

Non-Academic Events

The University Scheduler supports non-academic events and space requests on the Malibu campus, including:

  • Department meetings and programs
  • Guest lectures and speaker events
  • Student programs and gatherings
  • Conferences, workshops, and symposia
  • Receptions, ceremonies, and special events
  • Other non-course uses of University spaces

Academic Scheduling

Formal academic courses and classroom assignments are managed through the University's academic scheduling processes.
