What are High Impact Dates?

High Impact Dates are designated dates on the University Calendar associated with events that require significant campus-wide coordination, operational planning, and shared resources. These dates receive an additional level of scheduling review to help ensure the successful execution of complex, high-impact events while minimizing conflicts with other campus activities. 

Why Do High Impact Dates Exist?

As part of Pepperdine’s broader effort to improve campus coordination, operational efficiency, and event excellence, High Impact Dates help ensure that these large-scale events receive the attention, resources, and coordination they require. This framework helps to:

• Minimize scheduling conflicts with other events
• Prioritize institutional priorities and high-visibility programs
• Ensure adequate staffing and resources (e.g., parking, DPS officers, AV, catering, equipment)
• Enhance safety and operational awareness across campus
• Support a high-quality guest and community experience

High Impact Dates are not intended to limit programming or make scheduling more difficult. Most meetings, departmental gatherings, and routine events may still be scheduled on High Impact Dates. These requests simply receive an additional review by the University Scheduler to ensure they can be accommodated without creating operational conflicts or impacting the success of the High Impact event. This additional step is in place to provide greater visibility and coordination, particularly to prevent multiple large-scale events from occurring on the same day.

What Makes an Event a High Impact Date?

Not every significant or well-attended event will be designated as a High Impact Date. High Impact Dates are reserved for a limited number of events that require extensive, campus-wide coordination due to their operational complexity and resource needs.

The designation of a High Impact Date is not a reflection of an event's importance, value, or significance to the University or an individual department. Many outstanding academic, student, alumni, and community events occur throughout the year without being designated as High Impact Dates.

Rather, the designation is an operational planning tool that helps the University coordinate resources, maintain campus operations, and ensure the successful execution of events that have the broadest impact on the campus community.

Scheduling on High Impact Dates

Event and space requests must still be submitted through 25Live as usual. However, when selecting a High Impact Date, users will receive an alert notification in the system indicating that this is a High Impact Date and requires additional review. Requests submitted for these dates will undergo an additional level of review before being approved and confirmed. Once a determination has been made, the requester will receive an email notification from scheduling@pepperdine.edu. Events should not be considered confirmed until formal approval has been received.
