University Calendar
Pepperdine's University Calendar provides a comprehensive, internal view of events and activities taking place across the Malibu campus. Housed within 25Live, the calendar brings event information into one centralized system to improve visibility, coordination, and planning across the University.
By maintaining accurate and comprehensive event information in 25Live, departments can better understand what is happening across campus, identify potential scheduling conflicts, anticipate demands on shared resources, and make more informed decisions when planning events.
University Calendar Initiative
In 2025, Pepperdine launched the University Calendar Initiative to improve the way events are internally planned, scheduled, and coordinated across the Malibu campus.
As the number and complexity of campus events continued to grow, so did the need for a more coordinated and transparent approach to event planning. Historically, event information, planning resources, and scheduling practices were managed differently across departments. As a result, event organizers often faced challenges identifying the appropriate contacts, understanding planning requirements, avoiding scheduling conflicts, and accessing the information needed to plan successful events.
The University Calendar Initiative was established to create a more coordinated, efficient, and consistent approach to planning events across campus.
Initiative Goals
- Establish a single, comprehensive internal University calendar in 25Live
- Improve visibility into campus events and activities
- Reduce scheduling conflicts and resource constraints
- Standardize event planning processes and expectations
- Provide event organizers with centralized planning resources
- Improve collaboration between campus departments
- Support data-informed decision making regarding space utilization and campus programming
- Deliver a consistent, high-quality experience for the Pepperdine community and campus guests
This website, the Event Planning Guide, and the new scheduling processes via 25Live are all products of this initiative.
What's New
As part of the University Calendar Initiative, several new tools, resources, and processes are being introduced to better support event organizers and improve campus-wide coordination.
25Live Mandate
Beginning in August 2026, all events held on the Malibu campus must be scheduled through 25Live. This ensures that campus spaces are managed consistently, required approvals are obtained, and event information is accurately reflected on the internal University Calendar. Events are not considered officially scheduled until all required approvals have been received through 25Live.
Planning Resources
New tools and guidance are available to support event organizers throughout the planning
process. These resources provide a consistent framework for navigating University
requirements, coordinating event logistics, and connecting with campus partners.
High Impact Dates
To help departments plan more effectively and minimize scheduling conflicts, Pepperdine has identified High Impact Dates throughout the academic year. Events scheduled on these dates will require an additional layer of approval before they can be scheduled.
University Scheduler
A dedicated University Scheduler has been established to support campus event scheduling and calendar coordination. The University Scheduler serves as a resource for questions related to venue reservations, scheduling policies, 25Live, and scheduling coordination and troubleshooting, thereby helping departments navigate the scheduling process and maximize the effective use of campus spaces.
How to Use the University Calendar
The University Calendar is an important planning tool—not simply a record of scheduled events. Event organizers should review the calendar early in the planning process, ideally before selecting a date or submitting an event request.
Use the University Calendar to:
- Review campus activity. See what events and activities are already scheduled on or around your preferred date as well as in the same area of campus.
- Identify potential conflicts. Consider events that may serve similar audiences or create competing demands for spaces and resources.
- Recognize High Impact Dates. Be aware of dates when significant University activities or operational impacts may affect your plans.
- Consider shared resources. Think beyond space availability to parking, transportation, facilities, technology, catering, security, and other services that may be supporting multiple events.
- Plan collaboratively. Identify opportunities to coordinate with other departments or adjust your plans when significant campus activity is already scheduled.
The presence of another event on the calendar does not necessarily mean that your event cannot occur. Likewise, an open date does not guarantee that a particular space or University resource will be available. The calendar should be used as one tool to help make informed planning decisions.
Ready to Schedule Your Event?
Once you've reviewed the University Calendar and identified your preferred date, the next step is to submit your event and any applicable space requests through 25Live.
