Credit Card Queries

There are a number of useful queries you can run to quickly gather the information you need.  These queries include:

  • Credit Card Proxy Info
  • Reallocation Detail Summary
  • Credit Card Approver Info
  • CC Limits and Default Chartfield Info
  • Transaction Detail by Department

Credit Card Proxy Info

This query shows either the proxies for a given cardholder or the cardholders a person is a proxy for. 

Enter the Campus Wide ID of a University Credit Card holder in “Cardholder CWID” to display a list of their proxies.

Or

Enter the Campus Wide ID of a University Credit Card proxy in “Proxy CWID” to display a list of all cardholders they have access to.

Reallocation Detail Summary

This query provides the reallocated chartfields for transactions in a given billing cycle.

Select a billing cycle end date (always the 25th). Enter the Campus Wide ID of a cardholder or proxy. This will display a list of all transactions the user has access to view. 

Credit Card Approver Info

This query shows either the HR supervisor for a given cardholder or the cardholders for which a person is a supervisor.

Enter the Campus Wide ID of a University Credit Card holder in “Cardholder CWID” to display their HR supervisor.

Or

Enter the Campus Wide ID of a HR supervisor in “Supervisor CWID” to display a list of all cardholders they are supervisors for.

CC Limits and Default Chartfield Info

This query shows the monthly and non-travel related single transaction limits on a credit card.  The monthly limit is the total dollar amount you are able to spend in a monthly billing cycle. The non-travel related limit is the single transaction limit for goods or services not related to travel.  This limit does not apply to any travel related expense, e.g. airfare or lodging.

This query also displays the default chartfields.

Transaction Detail by Department

This query shows the details of all transactions reallocated to a certain department range.

Enter the billing cycle end date (always the 25th) and the department number range start and end. Enter the same number for both if you only want to see transactions for a single department. The details of each transaction include the:

  • Cardholder Name
  • Transaction Date
  • Post Date
  • Merchant
  • Amount
  • Reallocated Chartfields
  • Comments
